DNA Sales Network privacy notice

How we handle personal information. Last updated 15 July 2026.

DNA's interactive application services are not currently accepting submissions. The company enquiry and sales-partner application forms are closed while we finalise our data-protection information, and the full legal controller identity will be published here before those services open. For any general privacy question in the meantime, contact support@helmos.ie.

Who is responsible for your information

DNA Sales Network is a trading name operated by an Irish-registered company, which is the data controller. We manage company enquiries and sales-partner applications using HELM(helmos.ie), our own operating platform — HELM is the technology the controller uses to run DNA, not a separate organisation you deal with. The controller's full registered name, address, company (CRO) number and VAT details are being finalised and are not yet published; interactive data collection stays closed until they are.

What we collect, and what is required

When the forms are open, they collect only what is needed:

  • Company campaign enquiry — required to submit: your company name, your contact name and a contact email (so DNA can respond). Optional: phone, website, and the campaign details you choose to add (product, market, goals, budget indications). Required fields are the minimum DNA needs to identify the company and reply.
  • Sales-partner application (currently closed) — an email is required to begin and verify; your name and country are required to submit; experience, skills, preferences and a CV support the review. Some fields are optional, but an application may not be able to be assessed if required information is missing.
  • Basic technical information (such as IP address) used only to prevent abuse and rate-limit submissions.

We never ask for card or bank details through this website. Submitting a form does not create an account for you. You can start a draft and leave without submitting — nothing is sent to DNA for review until you choose to submit.

Why we use it

To review your enquiry or application, to design and manage sales campaigns, to contact you about them, and to keep our systems secure and prevent abuse. We do not sell your information. The specific legal bases for each purpose are being confirmed with our advisers and will be stated here before the forms open.

AI and automated decisions

HELM may help DNA organise, summarise or identify missing information in a submission. DNA personnel make the final review, qualification, approval and rejection decisions — DNA does not rely solely on automated decision-making to decide company or partner eligibility. Any forecasts or AI suggestions are estimates to support a human decision, not guarantees or binding decisions. At present, submission review does not send your information to any third-party AI provider.

Who can see your information

  • Authorised DNA operational reviewers, and authorised HELM administrators operating for the controller.
  • Our hosting and database provider acting under contract (see “Where it is stored”).
  • Professional advisers, or authorities, where we are legally required to share.
  • A specific client or campaign workspace only after a governed approval step, and only where appropriate to that campaign.

CVs are notshared with the general DNA community. Internal review notes are never shown to applicants or companies. One company cannot access another company's submission, and sales partners cannot access a company's commercial information unless specifically authorised for an assigned campaign.

Where it is stored, and our providers

We use technology and service providers to run DNA. Their contractual roles and the safeguards below are being confirmed, and DNA will not open its application services until the required processor agreements and international-transfer assessment have been completed.

Supabaseprovides our database, private file storage and application backend. DNA's Supabase project has its primary project region in Frankfurt, Germany, and application records and private file storage are configured in that project. A primary-region location does not by itself establish that every support, operational or subprocessor activity happens exclusively inside the EU; international-transfer and subprocessor safeguards will be confirmed through Supabase's current data-processing agreement and subprocessor documentation before submissions open. CVs are held in private storage reachable only by authorised DNA reviewers through short-lived, expiring links — never on a public address.

Netlify hosts and delivers this public static website. Application-form content is designed to post directly to the Supabase backend and is not submitted through Netlify Forms — so Netlify does not receive DNA application-form content through the form workflow. However, when someone visits the site, Netlify may necessarily process website request and service metadata such as IP address, browser/device information, timestamps, requested pages and security information to deliver and secure the site. Netlify states that some of this processing may occur internationally and that it uses transfer mechanisms including EU Standard Contractual Clauses where applicable. DNA does not currently ship its own analytics or advertising software in this website.

How long we keep it

We keep your information only as long as needed to review your enquiry or application, to meet legal obligations, to handle any dispute, and to keep our systems secure. We do not keep data indefinitely. Exact retention schedules are still being set as part of our data-governance work and will be published before the forms open.

Your rights

Depending on the circumstances and where applicable, you may ask us to:

  • Access the personal information we hold about you.
  • Rectify information that is inaccurate or incomplete.
  • Erase your information.
  • Restrict how we use it.
  • Object to a particular use.
  • Receive your information in a portable format (data portability), where that right applies.
  • Withdraw your consent, where a use relies on consent — without affecting anything done before you withdraw.

Not every right applies in every situation. To make a request, email support@helmos.ie. For an authoritative overview of your rights, see the Irish Data Protection Commission's guidance: dataprotection.ie — rights of individuals.

Complaints

If you are unhappy with how DNA handles your personal information, please contact us first at support@helmos.ie so we can try to put it right. You also have the right to raise a concern with the Irish Data Protection Commission at any time — contacting us first does not remove that right: dataprotection.ie — raising a concern with the Commission.
